Execute a Seamless Exit: Step-by-Step Offboarding for Terminated Employees

Offboarding a terminated employee.

Offboarding a released employee isn’t just about collecting IDs and waving goodbye—it’s about protecting your business and ending the relationship with respect. Start by following a clear step-by-step process: notify key departments, disable access, return assets, and conduct an exit interview. This ensures no loose ends are left behind, from payroll to security. Done right, offboarding strengthens your company’s professionalism and protects both your brand and your team.

Here is a step-by-step process for the offboarding:

Step 1

Provide the updated offboarding checklist based on the record.

Step 2

Review the HR records and all documents related to the employee's access card, Residency (if applicable for non-citizens), medical card, assets, and other relevant items. Ensure these documents are attached along with the Offboarding Checklist Form.

"Capturing a photograph with your mobile camera is far economical than printing it—consider the environmental impact."

Step 3

Prepare all documents and ensure they are as follows:

  1. Employment Termination Letter
  2. Certificate of Employment/Service
  3. Final Settlement (from Accounts Department)
  4. End of Service Letter
  5. Disclaimer Letter (Optional)

Step 4

Gather all the assets assigned to the employee, such as the laptop, cellphone, access, and other similar items.

Step 5

Verify all collected items against the checklist so that everything is accounted for.

Step 6

Obtain the employee's signature acknowledging receipt of the listed items and provide them with the original.

  1. Employment Termination Letter - (copy to the employee)
  2. Certificate of Employment/Service - (original copy to the employee)
  3. Final Settlement - (copy to the employee)
  4. End of Service Letter - (original copy to the employee)
  5. Disclaimer Letter (Optional) - (original copy to the employee)

Step 7

Accompany the employee all the way until they have exited the company premises or base.

"During my first week at the company, I saw an employee escorted out by their immediate supervisor following a termination."
