Unlocking Productivity: How MS Access Gets the Job Done—Fast and Flawless

Succeeding in a small company with fewer than 20 employees and only one administrative support staff member is a challenging task. 💪 In this fast-paced and constantly changing environment, it's crucial not to drop the ball. ⚡ As an Admin/HR/IT support professional, you serve as the backbone of smooth operations. 🛠️ The workload often exceeds what is typically outlined in a job description. 📋 Adaptability, efficiency, and multitasking are essential skills that serve as crucial survival tactics in a workplace where every challenge requires you to think creatively beyond the confines of your office. 💡

Wearing multiple hats is just part of the game! Here are the key roles I’m currently exploring—each one a challenge, an opportunity, and a step closer to achieving my ultimate career bucket list:

  • Talent and Compliance: This includes recruitment, visa processing, and management of employment contracts and agreements.
  • Employee Lifecycle: Onboarding new employees, offboarding departing staff, and conducting safety orientation sessions.
  • Tech & Security: Setting up new emails, configuring devices, and managing Bitdefender Email & Endpoint Security.
  • Project Management & Systems: Overseeing SAP Business One, HR Volt, APC website CMS, and ISO-certified management systems (ISO 9001:2015 & ISO 45001:2018).
  • Operational Excellence: Running safety meetings, ensuring smooth workflows, and keeping everything aligned with industry standards.


Unresolved challenges can hinder productivity. Confronted with these obstacles, I proactively sought solutions and optimized processes. The following outlines my:

CHALLENGES 


MS Access Task Organizer


I initially failed to notice the growing volume of tasks until expectations and began to overwhelm my workspace. To address it, I reassessed myself and devised a structured plan. Upon implementing it, I developed the MS Access Task project. In my capacity as HR/Admin support, I successfully designed an employee filing system, which inspired me to utilize Access to create the HR Filing Management System.

During the oil and gas campaign, I was tasked by the Operations Manager to develop HSE "Do" module with features to track status, provide quizzes, and generate certificates upon meeting the required marks. I successfully developed the Access Training Management System project to meet objectives.

MS Access Drawing File Organizer

On March 10, 2010, I began my first job in the steel plant sector in Saudi Arabia as a document controller, responsible for the documentation of all drawings related to steel plant projects. During this period, I developed a drawing file organizer to efficiently track files on time. This beginning of my interest in MS Access, which eventually grew into a passion due to its usefulness.

A group of review teams, comprising engineers from various disciplines at steel plant, held drawing review meetings on daily basis. At one point, the team encountered difficulties retrieving the record of a previous comment or a drawing from among over 1000 files, resulting in significant time wastage. I was called upon and successfully developed the Drawing Review Tracker, which proved to be a highly useful database due to its features and functionalities.

Steel Plant II was still under construction when I was hired to oversee the documentation of all drawing file transmittals from the contractor, an Italian conglomerate specializing in steel plants. One day, the project manager approached me to request assistance in developing a system to track the progress of this highly complex project. I accepted the challenge and began gathering the specification requirements for the system. Ultimately, it was successful, and the team utilized it effectively until completion.
