STEP BY STEP GUIDE VISA PROCESSING FOR FOREIGN NATIONAL EMPLOYEES ALL THE WAY TO RESIDENCE ID

In the company, 50 percent of the workforce are foreign nationals and getting them in the country is a bit challenging and work intensive - paperwork buildup  is essential  to support the visa processing. These are the common steps I've been following when situation calls for.


Step 1

VISA TITLE VERIFICATION - Check with the agency (for example Egypt) which visa will match according to his Education Certificate after receiving his/her personal documents such as passport, education certificate, technical and safety training certificates  (soft copies) from the potential candidate.

"In our case, Labor Visa was issued instead of Technician to our selected candidate from India due to urgent requirements for Wireline Crew Chief position that need to fill as soon as possible to get away with the Degree Attestation since he has a Bachelor's Degree. "

Step 2


EMPLOYMENT CONTRACT ATTESTATION - Send employment contract (with company seal) to the authorized government entity for attestation for example Ministry of Labor and Chamber of Commerce in Saudi Arabia..

Step 3

SEND DOCUMENT VIA COURIER - After the Employment Contract has been attested arrange to ship the document to the agency (foreign country) to proceed with the paperwork buildup in processing the visa.for the potential candidate.

 "Share the soft copy of contract in Email / WhatsAupp to the agent to cross check  the job title if matching with the  visa and other detail."

Step 4

AUTHORIZED AGENCY - Upon receipt of shipped document by  the agency ask to share the agency detail to authorize the agency using in the system / web portal for the visa  to issue the visa after confirmation has been made by the agent  and share the visa  numbers and other details. 

Step 5

FOLLOW THROUGH - Ensure you do a parallel follow-up on both parties  (agency & candidate) until it gets done for medical examinations and Eye / Finger reading procedure.

"In many cases, the process flow gets stuck in this section  due to many reason for example reading machine is faulty - so keep an eye as it will take after sometime.  IMy best practice in following up both parties in email is by using a table for sequence of events on daily basis "
 
 

Step 6

VISA STAMPING - Visa stamping can be done after receiving the medical exams results and is completed with eye / finger reading - Ensure to do a intensive follow through all the way to the visa issuance.


Step 7

Ensure passport received by employee after the visa stamped to book a flight ticket 10 days before the flight.


Step 8

Inform newly hired to get/share PCR negative results valid 24 hours before the flight.

 

Step 9

Arrange driver to pickup the newly hired at the airport as per the issued air ticket and drop off him to the hotel / company accommodation for 14-day mandatory quarantine.
 
"During the quarantine period the newly is not allowed to go outside in his room to enforce strict compliance to COVID19 procedure.  "

 

Step 10

Get a soft copies of all personal information documents such as passport, visa, boarder number and copy of his profile picture to add in his HR file.
 


Step 11

REGISTER TO SAUDI ENGINEERING COUNCIL -  Instruct employee to navigate to Saudi Engineering website in order to get registered. Provide necessary documents to attach during the registration process such as Employment Certificate with company stamp.


Step 12

RESIDENCE ID/IQAMA -  Provide a clinic referral form to the employ for his pre-employment medical examination and instruct him/her to skip meals/water at least 8 hours before taking the exams. 

"Medical Results will be uploaded in JAWASAT website  by the hospital representative to complete the procedure for iqama/residence card issuance.
