Hiring Made Simple: A Step-by-Step Breakdown of the Recruitment Process

Hiring for oil and gas jobs is on the rise, and we need to fill the gaps. More crews are required to meet operational demands. To ensure timely staffing, recruitment has begun, and shortlisted candidates are prepared for interviews.

Here is a clear step-by-step breakdown of the recruitment process.

Step 1

Contact each shortlisted candidate to inquire if they are interested in joining the company.

Step 2

Open your Outlook calendar to set up an interview meeting based on the candidate's current geographical location. You may refer to the one I have created in Outlook on how to arrange a face-to-face interview with the hiring manager.


Step 3

Send an offer letter to the selected candidate. You may refer to the one I created on how to prepare an offer letter.

"Dear Candidate,

Regarding your application and subsequent interview, we are pleased to offer you the position of Chief Engineer at XYZ Company, where we hope you will enjoy your role and make a significant contribution to the success of the company. The detailed contract will be given to you at the time of joining...."

     Remuneration: 10,000 U.S. Dollar
     Housing Allowance: 25% of basic salary
     Transportation: 10% of basic salary

Step 4

Attach the offer letter PDF copy to your Outlook email and send it to their email address. You may draft an email similar to the one I created below.

"Dear Candidate,

You will find the details of the attached revised offer. Upon your acceptance, please print the attached offer, then sign it and send it back to us.

We expect to receive the signed offer letter on or before Tuesday, 2 March 2021.
Your official contract will be provided to you on your first working day with the company. 
We wish you all the success."

Step 5

After receiving the signed Offer Letter, please ask the candidate to submit the following documents via email:

  • National Identity (if local)
  • Residence Permit (If Non-Saudi)
  • Passport (Non-Saudi)
  • Resignation Letter (if currently employed)
  • Training Certificates
  • Certificate of Service/Employment
  • Photo passport size

Step 6

Ensure all documents are received to proceed with the onboarding process.

Step 7

Prepare a referral letter for his pre-employment medical check-up to be handed over to the clinic.

 

Step 8

Please request that the candidate provide a negative result from a COVID-19 PCR or Rapid Test.


Step 9

Organize the onboarding process for the new employee.

If the candidate declines the offer and the hiring manager stops pursuing, this is how to reply:

"Thank you for informing us. We are disappointed, but if there is anything we could have done to change your mind, I would appreciate your feedback. Regardless, we think you’re wonderful and wish you the best of luck in your future endeavors!"
