Simple and Effective Steps for Onboarding a New Employee
Step 1
Ensure your onboarding checklist is printed out to monitor the tasks that need to be completed.
"As a standard practice, I utilized an Excel sheet for my onboarding checklist, having created a customized digital version of this."
Step 2
Prepare the required forms and templates to be completed by the employee.
- Employee’s Information Form
- Emergency Contact
- Bank Details
- Company Policies & Business Code of Conduct
- Non-Disclosure Agreement
- Non-Compete Agreement
- Assets Assignment (Laptop, Cellphone, Sim Card, etc)
- Pre-employment Medical Exams
- Induction Training
- HSE Induction Record
Step 3
Obtain employees' signatures and personal.
"Ensure that all documents are accurately completed with the necessary signatures and dates to uphold the integrity of the information provided, thereby preventing potential issues in the future."
Step 4
Provide a brief overview covering the company background, history, mission statement, vision, core values, and health, safety, and environmental (HSE) policies.
"PowerPoint presentations with audio are beneficial, as I have consistently utilized them for onboarding new hires in the company where I was employed."
Step 5
Conduct a safety training and orientation session on personal protective equipment (PPE), the Health, Safety, and Environment Observations.
"I use the HSE Do It database specifically for this purpose, allowing participants to take a quiz and receive results immediately after the orientation. This application is available for download on my website."
Step 6
Create a folder labeled with the employee's name and organize the files accordingly.
"I stored all HR-related files in a database I developed using Microsoft to efficiently organize the files and enhance retrieval speed. The application is available for download if you wish to try it."
Step 7
Obtain a copy of the individual's identification, such as a national resident ID, a Passport, or a Driver's license.
"Obtaining a copy is simple by using WhatsApp on mobile phones, as I often do here in Saudi Arabia."
